Alderley Kindergarten

Alderley Kindy has been using the Kindy Soft Pro for approximately three years. Prior to using this system we were using a simple spreadsheet system, which did not allow us to efficiently manage student enrolments and data management in one central place.

Since implementing this database we have been able to maintain a waitlist for up to five years in advance, track a child’s progress from waitlist to enrolled status, print numerous operating reports including class lists, class roll and parent sign on sheets.

Apart from running our regular kindy program we also run an Outside Hours Care program. Not only does this database allow us to enrol a child into our regular program, it also allows us to enrol the same child into various Outside Hours Care and Vacation Care programs simultaneously.

Implementation of this database has also allowed us to batch invoices and integrate these financials with our MYOB software package.

Not only has this database streamlined our enrolment processes but it has also saved us precious time and money with our financial management.

The use of Kindy Soft Pro has allowed us to streamline our administrative processes from waitlist management to invoicing. We are now able to manage all aspects of student enrolment in the one place.

In recent years we have introduced an online booking system through our website and the database easily imports this data ensuring we can clearly manage our waitlist. In conjunction with our sibling policy, we also strongly advocate for a child’s right to a second year of Kindy if required. The database allows us to manage these variables in our enrolment process. Further to this, we gather all of our enrolment data (the enrolment book/form) via online forms and this data is automatically imported into the database without the need for manual data entry. Locating important student information such as emergency contacts is then as simple as pressing a couple of buttons. All of this data can be exported to excel for additionally filtering and report printing.

One of the greatest strengths of the database is its ability to sync with MYOB. We are able to set each students Term fees, as well as any casual payments such as outside hours care, within the database and complete an invoice run in minutes. These are easily emailed to families and the appropriate data exported for direct deposit management. This significantly saves on our administrative processes and expense.

The database provides a central location to record additional notes and records regarding individual children. These are time stamped and can be reviewed as a chronological record.

Finally, we value working with Kindy Soft as they have knowledge of and experience working with Community Kindergartens. Therefore, they are able to support our staff from a position of genuine understanding.
